Presentation Format
Part I: General Information
Requirements

Papers may be no longer than 8 pages, including all text, figures, and references.

Papers must be submitted by the deadline. There will be no exceptions.

Accepted papers MUST be presented at the conference by one of the authors. One of the authors MUST register for the conference, and MUST register before the deadline given for author registration. Failure to register before the deadline will result in automatic withdrawal of your paper from the conference proceedings and program. A single registration may cover 1 paper.

ICIRCA 2024 requires that each accepted paper be presented in-person by one of the authors at the conference according to the schedule published, and the guidelines posted below. Any paper accepted into the technical program, but not presented will be withdrawn from the official proceedings.

Correspondence

Please make sure that all the authors are using their own personal/professional Email on all correspondence. Only ONE main/first/corresponding author should act as a “Single-Point-of-Contact” to the conference.

Procedure

Authors who wish to participate in the conference should draft a document consisting of a complete description of their research ideas and applicable research results in a maximum of 6-8 pages for technical content including figures and possible references. Papers should be submitted directly to Conference Email icirca.conf@gmail.com

Paper submissions will be reviewed by experts selected by the conference committee. Authors will have an opportunity to respond to the reviews during the author response period. The progress and results of the review process will be notified by email.

Review process and initial decision turnaround time with 1-2 weeks from the submission date.

The review process is being conducted entirely online. To make the review process easy for the reviewers, and to assure that the paper submissions will be readable through the online review system, we ask that authors submit paper documents that are formatted according to the Paper Kit instructions included here.

If your paper is accepted, submit the final version of the paper and copyright form electronically. The corresponding author must be registered before the registration deadline.

If your paper is rejected, it will not be again taken into consideration under any circumstances.

Part II: Preparation of the Paper
Document Formatting

Use the following guidelines when preparing your document:

LANGUAGE: All proposals must be in English.

LENGTH: You are allowed a total of 8 pages for your document. Up to 6 pages may contain technical content, figures, and references, while the rest may contain references. This is the maximum number of pages that will be accepted, including all figures, tables, and references. Any documents that exceed the 8-page limit will be rejected.

FONT: Only “Time New Roman” Font Style should be used throughout the paper

MARGIN: For exact margin restriction, refer the template files given below. Any text or other material outside the margins specified below will not be accepted.

REFERENCES: List and number all bibliographical references at the end of the paper. Adding irrelevant and self-cited references are strictly NOT encouraged.

PAGE NUMBERS: Do not add page numbers, header, and footer on your document. Appropriate page numbers will be added to accepted papers when the conference proceedings are assembled.

Information for LaTeX users

LaTex users can share the PDF file for initial review, once accepted, you need send the LaTex Zip file with all documents or you can share the Overleaf Project link to Conference Email icirca.conf@gmail.com.

Initial Paper Submission

For initial submission to the conference, author(s) can send the PDF version of the final paper to Conference Email icirca.conf@gmail.com.

Preprints, including Arxiv

Authors may post their preprints in any preprint or University Repositories. This does not count as a prior publication. If you are submitting paper to ICIRCA and moving forward for publication, cite the preprint in the references section of your article and also ICIRCA and the publisher must be credited as the copyright holder with the following statement included on the initial screen displaying IEEE-copyrighted material:

“© 20XX IEEE. Personal use of this material is permitted. Permission from IEEE must be obtained for all other uses, in any current or future media, including reprinting/republishing this material for advertising or promotional purposes, creating new collective works, for resale or redistribution to servers or lists, or reuse of any copyrighted component of this work in other works.”

Upon publication of the paper, the paper’s Digital Object Identifier (DOI) should be added.

IEEE Copyright Transfer Form

All accepted papers must have an IEEE Electronic Copyright form submitted before the manuscript can be included in the conference proceedings. You will be required to submit the form during the submission of the final version of the paper.

Online Review Process

Our submission processing team members will visually review your submitted paper to ensure that it is accessible and meets all formatting standards for inclusion in a proceedings publication of ICIRCA 2024. If our submission inspectors find issues in your submitted file, they will contact you to fix the issue. If your document passes inspection, it will be sent for technical review. The documents will be reviewed by a committee of reviewers designated by the conference committee based on the relevance of the proposed topic. These reviews will be used by the conference technical committee to determine which papers can be accepted for presentation at the conference. The technical committee's decision will be notified to the authors who submitted the paper to the conference.

Notification of Acceptance

Authors will be notified of paper acceptance or non-acceptance by email. The notification email will include comments from the reviewers. The conference cannot guarantee that all of the reviewers will provide the level of comment desired by you. However, reviewers are encouraged to submit as detailed comments as possible.

Required Author Registration

Be sure that at least one author registers to attend the conference using the online registration system available through the conference website, for detailed procedure, please check the registration page. Each paper must have at least one author registered, with the payment received by the author registration deadline (see above) to avoid being withdrawn from the conference.

Plagiarism Policy
  • Note that plagiarized articles will be rejected (Must be 15% below including references).
  • Copying of contents from other articles is strictly prohibited.
  • Only articles with 80% original content should be submitted with the expectation of being accepted in ICIRCA 2024.
  • Submissions to multiple conferences and publishers is strictly not encouraged. If found, the paper will be rejected at any stage of review and publication process.
  • Articles failing plagiarism check will be subjected to rejection.
Part IV: Preparation of the Presentation

The author(s) of the accepted and registered paper should deliver their oral presentation at the conference.

Presentation Format

There is no particular template to present the paper in conference. The presentation time limit for the author(s) will be 15 minutes followed by a Q&A session for 5 Minutes.
